The roles and responsibilities of this position are as detailed below
FINANCIAL ADMINISTRATION
Primary
• Collate the required daily source accounting information and submit to head office for monthly, weekly and daily reporting deadlines so that your Reporting Accountant can use this information to create a reliable and accurate set of accounts.
Secondary
• Liaise with in-country debtors for the collection of monies as dictated by central accounts function.
• Maintain direct daily relationships with suppliers to appropriately manage expectations of creditors.
• Ensure all statutory information is timeously collected from the various governmental bodies and submitted to central accounts function and in turn statutory returns are submitted on time.
• You have the overall responsibility for ensuring all deadline submissions are on time and appropriately submitted in the correct format to ensure ease of centralized accounts reporting.
• Ensure country accountants receive all necessary invoices and statements on a weekly basis, to update centralized accounts weekly.
• Provide country accountants with weekly bank statements and the relating bank deposit analysis schedules.
• Manage inbound cheques and distribution thereof and daily banking function as quickly as possible so as to maximize interest income and improve cash flows.
• Manage the receipt and subsequent distribution of monthly cheques and keep a register of their disbursement and updating the country accountant weekly.
• Safeguard all company assets on a fixed asset register and ensure that they are well cared for and maintained.
• Control the issuing of all consumable stocks and stationery on a stock card system.
• Ensure all internal control procedures are followed and standardized group templates for reporting are used.
• Daily control of company petty cash receipts and slips ensuring that it continually is balancing.
• Provide country accountants with weekly updated schedules relating to petty cash utilization as well as copies of petty cash receipts and vouchers.
• Ensure a proper filing system is in place and the ALL original documentation is filed and kept safe and neat.
• Assist in preparing and providing information for auditing purposes.

ADMINISTRATION
Primary
• Ensure the office and infrastructure is managed to allow each of the staff members time to focus on their primary objectives.

• Ensure overall security of the office is maximized at all times.

• Filling of all landlord contracts nicely, making sure all documents are kept safely and ask Prosper to provide any missing documents from landlord files
• Scanning of invoices for mps and sending them to Country Accountant.
• Following up on Revenue Authority issues and completing relevant forms for VAT and PAYE etc.
• Following up on bank statements which should be balanced with cheques drawn and invoices from suppliers
• Answering phone calls and receiving faxes in office.
Minimum Requirements
• A degree in Finance/ Accounting or studying towards completion of a professional such as ACCA or CIMA.
• A minimum of 2 years working experience in a finance department.
• Knowledge of the country legislation that is applicable to the business.
• A self starter who is able to communicate and function with team members at all levels.

Perspectives on Colonialism:

- a Media Project on the Colonial Perspectives of Namibia and Germany and Their Present Relation
Due to the colonial history, there is a particular relation between Namibia and Germany. But how
many people in Germany even know about the colonial past while it’s significantly noticeable in
Namibia? How much does the civic society of both countries know about today’s political and
economic relation? How do the youth, experts and politicians think about the German-Namibian
relation back then and today?

The project offered by Free Your Mind! and Welwitschia is dealing with these questions and wants to
create awareness of the disparity between Germany and Namibia. Therefore, an international projectteam will deal with the relations of both countries, collect information, conduct interviews and create a short documentary and/or website.

Who we are:

The German host organization Weltwitschia e.V. aims at communicating a diverse and stereotypefree
picture of Namibia in Germany. The organization works closely with its partner organization in
Namibia whose main goal is to improve the education of young Namibians. Welwitschia e.V. works
decentralized via internet and frequent meetings, but without any permanent office and employees. If
needed, a working space and access to libraries can be organized. There will be a direct contact
person in Frankfurt am Main working with the team. Additionally, regular meetings with other
members will be organized in order to carve out the project.

Free Your Mind! Entertainment CC, based in Windhoek, produces a comedy show dealing with
current affairs, national and local politics in an entertaining way. It is also working closely with other
partners dealing with national political topics. The South phase will take place in Windhoek where the participants will have access to the Theatre School to work.

What we want to do

The German-Namibian project-team will engage in this media project dissecting the colonial past and
present of their countries and today’s relation between both, and edit a documentary video or create
a website depending on the participants' competences. Building on research on the historical, political
and economical background of the relations between both countries, the team will conduct interviews
with experts from different professional backgrounds and with young people asking about their views
on colonialism and the present relationship between Germany and Namibia. The work seeks to
challenge stereotypes, to inform about the colonial past of both countries and to discuss parallels and
differing views on their relationship. Working with own film equipment and laptop is an advantage,
but the material can also be provided.

The North phase will take place between April and June 2017; the South phase between August and
October 2017. Two ASA seminars will take place during the North phase, another in spring 2018. A
prerequisite for taking part in the ASA program is an active participation in the seminars. The program comprises two three-month full-time internships. The North phase will take place in Frankfurt am Main. Working language is English.

Whom we look for:

This project is directed towards people who are interested in media and communication, with a focus
on documentaries or websites as a means for civic education. The partner organizations are looking
for interns with experience in conducting interviews, skills in video editing and/or designing websites,as well as the ability to conduct in-depth research on the project topic. The outcome will be a documentary or a website, depending on the interns' competences, which focuses on colonialism and the challenges for the present relationship between two countries in a globalized world. In alignment with ASA’s guidelines, we expect participants to be open to better understand and question global interdependencies, sustainability concepts and different forms of discrimination.

Required Skills & Experience:
• Project and Site Management (including management of sub-contractors), Technical Understanding & Ability to Read & Interpret Drawings, Documentation Skills, Supervision & Project Timeline Tracking
• Good understanding of, and ability to use construction contracts as an effective Project Management tool.
• Effective computer skills; Microsoft Office Software, MS Project & AutoCAD an advantage
• Electrical qualification or training an advantage but at least must possess a broad understanding of the major construction engineering disciplines, i.e., Civil, Mechanical and Electrical.
• A minimum range of two years’ site construction experience

Job Description:
• Perform the duties of Project Manager and taking responsibility for the completion of the project on time and in budget.
• Completing all assigned tasks as delegated by the Company.
• Implementation of internal and external engineering and logistical activities through various sub-contractors
• Ensure technical requirements defined in the contract are properly incorporated in the project deliverables.
• Manage and facilitates communication across the project functions to ensure that the project objectives and needs are met.
• Coordinate Project and Site Progress Reviews.
• Monitor the execution of the quality assurance program for conformance to project requirements.
• Liaise with PE with regards to any technical & design-related issues pertaining to the project
• Control Cost and Forecasting activities for the project
• Monitor project progress; coordinate activities & resolve problems.
• Control project plan by reviewing design, specifications, and plan and schedule changes; recommending actions.
• Contributes to team effort by accomplishing related results as needed through management of staff & sub-contractors.

Key Accountabilities:
  • Ensure stock takes are done according to the company policy and procedures.
  • Ensure cycle count is done according to management discretion
  • Ensure all SKUs are stored in the dedicated locations as per company policy and procedure.
  • Maintain picking faces at all times.
  • Maintain general housekeeping as per company procedure.
  • Ensure that physical pallets on hand correspond with the cheap account.
  • Count all pallets under dispatch control on a daily basis and no variances allowed.
  • Manage and control pallet movements to ensure stock count accuracy.
  • Submit monthly report to line management which contains stock losses, picking performance, receiving time and forklift utilization.
  • The control and management of the offloading process.
  • The blind check process must be managed.
  • Must make sure that the stock is stored in the correct locations.
  • Ensure that all credits are checked according to company policies and procedures.
  • Overall operational responsibility and execution of depot administration while adhering to budget targets.

Qualifications, Experience and Skills:
  • Grade 12 and three years experience in FMCG
  • Minimum 3 year Diploma in Demand Chain Management.
  • 5 years working experience in the Demand Chain environment.
  • Fluency in Afrikaans and English.
  • Proficiency in an indigenous language will be a definite advantage.
  • Be able to handle pressure and conflict situations.
  • Have good communication skills.
  • Inventory and stock management skills.
  • Valid passport and police clearance certificate.
  • Valid driver’s license code 08
  • Namibian Citizenship
